The overall tradition of *how* you choose to distribute the flag should have your own flavor, but here are some things I recommend.
1) Hand the pieces out in person, preferably in camp and in costume and while the group is gathered together. 2) Remind the individual (or the company) of some specific thing that they have done in service to the fahnlein that season, or in general, or something that you find special or remarkable about them. 3) Hug em. They earned it. 4) If your guild likes to drink together, passing a horn to seal the fellowship is always nice. It also gives everyone a chance to 'hold the conch' and say something about how they have experienced the last season.
I really do recommend this tradition. Historical or not, it is an amazing thing and leaves those you work with something tangible as a reminder of time spent together.
